Có một câu hỏi mà nhiều bạn thắc mắc là có nên waive online LOR hay không.
Cái quyền được xem LOR chỉ có thể sau khi đã biết admission decision, chứ không phải sau khi nó được submit. Lúc đó thi có xem cũng không để làm gì, trừ khi để làm experience trong tương lai (nghi ngờ Prof nào viết khônng tốt, confirm lại để không chọn ông Prof đó viết nữa in the future, hay xem tại sao mình lại bị....rejected...)
AC cũng không care lắm mình chọn cái option nào. They dont have time to care. Frankly, they like you to choose that option vì nó encourage/force Profs viết đúng sự thật.
Nhưng ông giáo khi viết LOR thì Prof sẽ biết là mình sẽ (có quyền) xem thư vì online system sẽ thông báo. Đều đó có thể làm Prof khônng hài lòng (vì nghĩ mình không trust ổng for example)....Điều này dẫn đến kết quả thế nào, tuỳ thuộc vào tính cách mỗi Prof. In most cases, this option is not recommended!
Do vậy, chỉ chọn option đó khi mình muốn tìm experience cho sau này như nói ở trên.
My recommendation: Nếu nghĩ có LORs tốt, chọn waive. Nếu không chắc LORs thế nào, muốn được admission => không chọn Prof nghi ngờ. Nếu không hi vọng có admission nhiều, có thể không waive để tỉm hiểu Prof viết thế nào. Dù mình waive hay không thì in most cases, the LORs contents are the same. Profs not gonna write good or bad because you gonna read them or not.

Contact Profs là một "kỹ thuật" cần được rèn luyện và học hỏi, tìm hiểu. In most cases, it does more goods than harms. In other cases, you can find out how competitive your application is.
My recommendation: (to be continued)
1. Thời gian contact: Nói chung là lúc nào cũng được (of course before admission decisions!!!). Mình contact khoảng 1 tháng trước và sau khi deadline.
2. Make your letter brief.
3. Nội dung: Để đạt hiệu quà cao nhất thì càng personalized càng tốt. Ca ngơi Prof, their research impressive, lots of results...Kiếm kết quả nào ngon nhất của Prof mà nói, không nên nói chung chung. Viết như thế này thì tụi lịch sự thường sẽ reply. Hihi. Do not send a form letter! Make your letter brief.
4. Gứi CV in pdf format. DO NOT SEND MICROSOFT WORD DOCUMENTS! Nếu SOP đã có ngon thì gứi luôn SOP. Nếu applied rồi, có file pdf application hoành chỉnh thì gửi cái này là đủ vì nó sẽ có đầy đủ thông tin.

Some suggestions I have found on the net
A professor may receive hundreds of e-mail messages from prospective graduate students each year. So, when you correspond with professors, it is in your best interest to keep the correspondence short (e.g. less than 24 lines) and customize a letter to each professor. Many professors refuse to answer form letters.
To customize your e-mail message, you might spend a couple of sentences on each of the following topics:
* curriculum track to which you are applying for graduate ECE studies
* educational background: school(s) attended, grade point average, BS project title, and GRE scores
* interest in MS only or MS/Ph.D. and why
* a list of detailed research topics that you want to pursue (e.g. wireless communications is too broad).
Also, spend a paragraph on why you contacted the professor and how you would like to contribute to the on-going research in the professor's group. This may require you to read the professor's Web pages thoroughly and may require you to read a paper that the professor has published.
Always attach a resume as a text or PDF file, or provide a Web address where your online resume is. Avoid attaching Word files if possible. I've compiled suggestions for resumes.

SOP là một bộ phận quan trọng của hồ sơ. The fact is: Most AC members do not read all applicants' SOPs due to time limited. However, they surely read those from whom they gonna accept. And if SOP is poorly written, it may severely damage your chance of getting admission. I have a friend who applied for top schools and he submitted his first or second draft SOP. In normal case, it's just wasting of money in my opinion.
My own experience and recommendations: (to be continued)
1. Bắt đầu viết asap, ideally thì khoảng 2 tháng trước first deadline.
2. Tập trung viết theo từng giai đoạn, gửi cho bạn bè đọc và comment nhiếu nhất có thể. Ví dụ viết 1 tuần, gửi cho bạn đọc tuần kế tiếp, rối mình quay lại edit...cứ tiếp tục cho đến khi nào không thể edit được gì nữa thì thôi.
3. Suy nghĩ thật kỹ structure của SOP. Cái này phụ thuộc từng cá nhân, hầu như không có mẫu chung. Thường thì bạn nào mạnh cái gì thì viết trước. Mỗi người thường có style riêng, chủ yếu viết thế nào để mình hài lòng là được. Cái này nên consult những người đi trước, đặc biệt là những người trong cùng ngành.
4. Với những bạn apply trường tốt, việc viết những problems nào mình sẽ làm là "con dao 2 lưỡi". Do vậy, nên cân nhắc cẩn thận. Ở những nơi tốt, Profs thường có philosophy research riêng, khác mình, giải những problems khác mình. Nếu mình viết đúng luôn thì rất tốt nhưng sadly thường là...không giống nên có thể gây bất lợi.
5. It's really hard to get in top schools with a not-so-well-prepared SOP, I can guarantee. They not gonna accept you if they're not in love with your SOP which tells your research philosophy, vision.... Hihi.
6. Có những SOPs viết đơn giản nhưng hay, có những SOPs viết cầu kỳ cũng...hay. Tất cả phụ thuộc vào khả năng handle English của bạn. Thường Viet students viết cầu kỳ (cách dùng từ, cấu trúc câu....) vì không đơn giản viết đơn giản mà...hay. Do vậy, make sure là bạn nắm vững được những gì bạn viết là tốt nhất.
7. SOP cuối cùng cũng chỉ là để bạn self-marketing. Tất cả cũng là để làm thế nào để "bán mình" đắt hàng, nhiều người mua.

Recently, we have submitted new results proposing a network utility maximization (NUM) cross-layer design framework for time division multiple access networks (TDMA) with users’ admission control and network lifetime concerns. My strong familiarity with statistics, communication networks, and optimization enables me to study the mentioned problems.

In particular, I am amazed by the works of Professor XXX and it would be my great honor to work under his supervision. Professor XXX’s theoretical results on Internet flow control, ‘reverse engineering’, and cross-layer design through mathematical decomposition have been instrumental in building my interest in the area of optimization of communication systems. His discovery on the FAST Transmission Control Protocol (TCP) architecture is just remarkable. Moreover, it is incredible that Professor XXX's important research outcomes have turned into cutting-edge real-world technology through the invention of the Company YYY which significantly increases the speed and quality of data transmission over the Internet. Personally, a combination of theoretical research and its real-life applications is the utmost objective of any researcher. I believe that my academic background and research interests perfectly match those of Professor XXX's group. During my undergraduate studies, I also conducted research under Professor YYY’s supervision....I studied different convex and nonconvex programming techniques, learning classical and recent results on the optimization of communication systems. As well, I had chances to attend workshops where I was able to meet and interact with leading researchers in the field. This indeed was an invaluable experience and further inspired my passion for research. In two years, my research skills were considerably improved. I have learned not only the tools but also the mentality of optimization....Moreover, I had obtained a solid background in communications theory. During the period, I had chances to collaborate with Professor ZZZ from Institute of Mathematics, Vietnam, whose pioneering achievements significantly affected the field of global optimization. I believe that there is a significant number of potential ICASSP attendees who will be interested in this topic”. This exciting work brought me encouragement to further explore other applications of monotonic optimization in wireless communications. Through our collaboration work, I have learned so much from Professor ZZZ, not only from his insightful research ideas and suggestions but also from his demonstrated research integrity and enthusiasm.

Here is some suggestions on how to write a SOP by some Professor at Austin.
Applications for graduate ECE study generally require a statement of purpose. A statement of purpose should not exceed one page of 11pt, single-spaced text. In the statement of purpose, do not include information about what you accomplished prior to college. Here is an outline of a good statement of purpose by paragraph:
1. Introduction. That you're finishing a BSEE degree at university z in Spring 2009 with specializations in x and y. That you're applying for the PhDEE degree in subdisciplines a and b, and you're interested in particular in researching c.
2. Experiences in undergraduate electives.
3. Experiences in senior design course and in undergraduate research
4. Experiences in summer internships
5. Summary. Why are you applying to this particular graduate program? Which projects interest you? Which faculty would you like to work with and why (give at least three faculty). What do you plan to do with the your graduate degree after graduation?

Đầu tiên, em cảm ơn anh Kev về e-mail contact of Catech top applicant from Tsinghua mà anh đã send applicants USFall09 bọn em hồi tháng 1. Đợt đó, em contact Prof thuận lợi cũng một phần nhờ form e-mail này. Sau đây là kinh nghiệm e-mail contact tìm lobby mà em đã cải biên một chút:
B1) Làm CV website cá nhân. Có thể dùng [Only registered and activated users can see links. ]
Notes:
- Tên các trường, viện bạn đã học nên được gắn hyperlinks với website của các trường, viện. Đó là một cách bạn quảng cáo và giúp Prof nhanh chóng tìm được thông tin của các trường, viện bạn đã học.
- Upload lên CV: transcript, degree, merit certificates, Toef, GRE scores.
B2) Viết e-mail contact Prof ngắn gọn, self-introduce, kèm theo link to CV website của mình.
Note:
-Nếu chưa có paper, bạn có thể nêu ra một số hướng nghiên cứu bạn đang làm. Nếu các hướng đó hay và trùng interest với Prof thì càng có giá trị.
-Có thể contact 2 Profs cùng interest cùng lúc. Trường hợp của em thì cả 2 trường em contact, mỗi trường đều có 2 Profs nhận support. Thường thì “a good applicant from Viet Nam is a good story for Profs to tell each other”. Nên việc contact 2 Profs cùng Dept cũng không đáng ngại (trừ khi không thật may mắn.)

1) Bạn quan tâm đến ngành hẹp nào?
2) Tại sao bạn lại muốn học cùng Prof ấy? (Ví dụ Prof này đã có những đóng góp quan trọng trong chuyên ngành.)
3) Ai giới thiệu Prof ấy với bạn (nếu người giới thiệu quen ông ấy.)
4) Nếu có thể, bạn viết thêm một chút về các vấn đề nghiên cứu mà Prof ấy từng làm và bạn cảm thấy thích được theo đuổi.
5) Bạn đừng quên gửi cho Prof ấy một cái CV của bạn (dạng website càng tốt). Trong CV, bạn có thể nói về các kết quả nghiên cứu của bạn cũng như các học bổng mà bạn từng đạt được.
B3) Prof shows positive attitude thì submit electronic application, và gửi nhanh hồ sơ giấy bổ sung.
B4) Hồ sơ nộp xong và đầy đủ thì báo cáo Prof, đồng thời send SOP, Research Plan để Prof review.
B5) Trao đổi thư từ qua lại, có thể xin interview vào những ngày gần deadline mà chưa có kết quả từ admission committee. Cùng lúc đó tích cực liên lạc với thư kí khoa để theo dõi tình hình hồ sơ. Bình tĩnh chờ kết quả.
B6) Sau khi có admission (and fund), không quên e-mail ngay để báo cáo và cảm ơn Prof.
B7) Sau khi có quyết định cuối cùng là chọn học A Univ và đã nhận được big envelope materials from A Univ (Admission Letter, Financial Support Letter...), bạn nên e-mail các Prof đang lobby cho bạn ở các trường khác cảm ơn và xin rút hồ sơ. Điều này optional nhưng làm được thì sẽ nhường cơ hội lobby cho các Vietnamese applicants khác, thể hiện đạo đức của người làm khoa học, giữ được tốt mối quan hệ trong nghiên cứu sau này với các Profs.

Theo mình thì 1 trong những cái quan trọng nhất để được chọn là LOR, chứ chưa hẳn là paper, đặc biệt với các trường hợp contact GS trực tiếp để lobby. Như trường hợp của mình, GS chỉ từ hồi Ms chỉ nhận xét có 2 câu được coi là rất quan trọng là: "abc là học sinh xuất sắc nhất và chăm chỉ mà tôi từng biết trong thời gian giảng dạy" và " khoa và tôi đồng ý cho abc học bổng làm tiếp PhD ở đây nhưng chúng tôi vẫn vui lòng để abc có cơ hội tiếp tục phát huy được nghiên cứu chuyên sâu trong môi trường khoa học của trường ngài ...".
Chỉ cần GS bên kia đọc được, ông ấy sẽ đánh giá rất cao vì chứng tỏ đây là 1 student rất potential (GS nó khen như thế thì không phải chỉ là đơn giản viết cho cái LOR cho xong chuyện). Mà tâm lý các giáo thì muốn nhận SV chăm chỉ và làm được việc, trung thực và được lòng thầy mình (ít ra là ông GS cũ đánh giá như thế). VD như giáo tôi nhận được chục hồ sơ và tất nhiên là TOEFL 550 hay 600 ông ấy cũng chẳng care lắm, miễn là trên hoặc tương đương mức yêu cầu của nhà trường. Nhưng cảm thấy ý sếp và một số trường hợp sếp gặp phải là trong việc làm research thì nếu GS và SV hợp nhau thì làm việc rất trôi chảy, việc tìm được SV cũng không phải là dễ vì nhiều trường hợp giáo và SV không đồng quan điểm nên SV phá ngang bỏ đi, hoặc đổi thầy, hoặc không làm được gì cho giáo ... mặc dù có background rất khá.
Nếu mà lobby có thầy back-up thì khá dễ dàng rối. Thường thì hấu hết các Prof đều biết cách viết LORs như thế nào đề cho tốt. Mình nhấn mạnh là viết LORs tốt là một nghê thuật, không phải Prof nào cũng viết được mặc dù Prof đó rất giỏi và cũng muốn viết tốt. Ảnh hưởng của LORs thì ai cũng biết là tuỳ thuộc vào fame của người viết nữa.
Nhân tiện nói LORs, mình cũng có chút ít kinh nghiệm, đặc biệt là apply cho top schools. Ví dụ nếu các bạn có 3 referees, trong đó có 1 người rất nổi tiếng. Nếu các bạn không chắc người nổi tiếng viết cho bạn 1 LOR outstanding thì dùng thư của họ là "con dao 2 lưỡi". Tại vì sao? Vì trong trường hợp này, AC chỉ đọc mỗi thư của ông này thôi và họ sẽ có bad impression liền.
Tớ kể trường hợp năm trước có 1 đứa từ Toronto apply qua Caltech. Hồ sơ của bạn này có thể nói là hoàn hảo, mọi thứ đều có. 3 referees, 2 ông cũng có tên viết very strong letters và vấn đề nằm ở ông thứ 3. Ông này là một người cực kỳ nổi tiếng và ổng viết cho 1 thư tốt, nhưng không phải là outstanding. Thế là AC chỉ comment 1 điểm trong application của bạn này "XXX's letter is not very strong" và rejected. Mình có cảm giác nếu bạn này không chọn ông này thì sẻ được admission. Khi trong application của bạn có 1 điểm để thu hút attention như vậy thì nó sẽ quyết định 80-90% cơ hội. So, be very careful!!!

Resume cũng là một bộ phận quan trọng khi contact Prof. Resume nên chuẩn bị thật chuyên nghiệp, đẹp mắt. Mình khuyên các bạn nên dùng latex nếu có thể. Format như cái này thì theo mình nhìn khá đẹp [Only registered and activated users can see links. ].
I found on the net some suggestions on what to include in a resume. Here they are:
Resume Suggestions
It is to your benefit to include a resume in a universal format (ASCII, PDF, or HTML) whenever you contact a professor. Many professors will not open Word attachments. It is also to your benefit to include a copy of your resume in your application for graduate study. Resumes from undergraduate students or recent BS graduates should be no longer than one page when formatted using an 11-pt font. For people with archived publications and/or significant full-time work experience, resumes should be limited to two pages when using an 11-pt font.
The resume should include the following information:
1. Name, mailing address, phone, and e-mail address
2. Objective: be specific. Just saying signal processing or communications is too broad.
3. Educational information: For each degree received or currently enrolled in, please give the degree, institution name, institution city, institute state/province, and date (or expected date) of graduation. Include the title and summary of your senior design project or thesis if you did one. Also, list your GPA and the maximum possible GPA. If your undergraduate degree is from a university outside of the US, then annotate the GPA listing by the type of system you're in:
GPA: 12.2/20 (French)
GPA: 8.5/10 (India)
If your GPA system is not on a 4.0 scale, then do not try to convert it to a 4.0 system. Do not include your class rank. Do not include any information about schooling completed prior to attending college.
4. Test scores: please include GRE and TOEFL scores.
5. Work experience, including the company's name and a 1-2 sentence description of your duties.
6. Publications (give full citation information, including all authors, volume numbers, and page numbers)

1. Chuyện viết CV để contact giáo sư: ở phần research experience, các bạn nên viết summary một vài dòng nói về project bạn làm, vai trò của bạn trong dự án, và nếu có thể, nên nói cả định hướng phát triển dự án trong tương lai. Bạn có thể đã ko còn làm dự án đấy hiện tại, nhưng những người kế cận có thể đi theo hướng bạn suggest hoặc là một hướng mới. Qua đó các Prof có thể qualify bạn tốt hơn vè khả năng analytical thinking của bạn.
2. Về việc viết SOP: theo tớ là ko nên giới hạn một ngành quá hẹp khi viết SOP vì như thế sẽ tự hạn chế cơ hội được admission của bạn, ví như Prof ngành bạn thích ko có fund, etc... thì bạn vẫn còn có option khác để lựa chọn.
3. Chuyện contact Prof, tớ nghĩ là nên sớm ít nhất là 1 tháng trước khi submit hồ sơ, để nếu Prof qualiffy bạn và họ có ý muốn nhận bạn, thì có thể Prof sẽ đề nghị bạn viết tên họ và nhóm của họ vào SOP của bạn. Điều này sẽ có lợi cho hồ sơ của bạn hơn, thậm chí là bạn có thể contact cả hai Prof trong cùng khoa và viết tên cả hai Prof vào SOP. Như trường hợp của tớ contact Prof rải rác từ tháng 10, chỉ nộp hồ sơ trường nào mà tớ contact được với Prof., thậm chí có trường tớ nộp hồ sơ muộn gần 1 tháng so với deadline mà Prof vẫn chấp nhận và vẫn có admission như bình thường.

Honestly, your letters of recommendation almost matter more to me than your personal statement. Do you have at least one good relationship with a faculty member in our field? Have you demonstrated to that person that you have potential? Have you worked on an independent project, or shown promise in the lab, or written some great papers for an upper level seminar? Have you gone to see this professor in his/her office hours for more than a question about a grade? Those are the kinds of things I look for. I trust my colleagues to help me determine whether the applicant is worthy. THEN I move on to the personal statement. There, I am not looking for what happened when you were little that made you realize you were meant to study A within subfield B, or for you to shower me and my university with accolades about how we were the only place you ever wanted to go for your PhD. Rather, I am looking for you to be able to generate a good hypothesis or two and a plan for study. This doesn't have to ultimately be your dissertation project, it just has to be a place where you demonstrate competence with critical thinking and the scientific method. Do you have interesting ideas? Do you have the intellectual ability to follow through with them? That's what I want to see when I am deciding who I want to fight for for our program. And I know you will hear this from others, but right now in the current economic climate we are all being forced to shrink our graduate programs. We are not able to admit all the applicants that we want to admit, and that sucks. Or, sometimes we look at two equally great applicants, but only Professor X has an opening, so the student who wanted to work with Professor X is the one who gets in. Make sure you look into who might advise you and whether they are taking students (and if you can, talk to those students to see what kind of advisor s/he is!) and find out how many the program is admitting that year.
